The Office Administrator will serve as the first point‐of‐ contact for the Eurodesign both on the phone and in person. The Office Administrator will represent the Eurodesign to the public in a professional and courteous manner, while providing administrative support to Eurodesign executive management and office operations.
Focal point for maintenance, mailing, shipping, supplies, office equipment and etc.;
Provide general support to visitors: greet and accommodate clients, job candidates etc.;
Coordinate driving personnel (plans, schedules and assigns driving personnel per request);
Organize and schedule meetings and appointments, book conference calls, rooms, taxis, couriers etc.;
Organize office operations and procedures;
Provide administrative support for the Directors upon request;
Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing and record keeping activities performed;
Monitor and maintain office supplies inventory, make sure supply requisitions are reviewed and approved;
Assist with a variety of administrative tasks including copying, faxing, binding, scanning etc.;
Answer and route all incoming calls in a timely and courteous manner.
Extensive experience in office management/ or a personal assistant (minimal or no experience acceptable).
Fluency in Azeri, Russian and English;
Excellent time management skills and ability to multi-task and prioritise work;

Strong organizational and planning skills;
Computer skills and knowledge of office software packages (Proficient in MS Office);
